Owner guide: account and billing

Pricing and billing

You pay per checklist that's turned on: $6 each for the first 5, $5 each for 6 to 20, then $3 each, per month. Yearly billing is 10 months' price for 12. Turning a checklist on or off changes the bill automatically, prorated.

If a payment fails

You'll get an email, and managers see a red Your last payment didn't go through message with an Update card button. Checklists keep working while the card is retried. Update the card soon so nothing pauses.

If the subscription ends

New checks pause, but nothing is deleted. Your checklists, team and history are saved. To restart, sign in at checklistsdone.com/login (or tap Manager on your checklist page) and choose Restart monthly or Restart yearly. Everything comes back as soon as the payment goes through.

Admins

In Settings → Account, the owner can add admins by email. Each admin gets an email to set a password, signs in with their own email, and can do everything a manager can. Only the owner can add or remove admins or close the account. You can have up to 10 admins per location.

Change your sign-in email

In Settings → Account, enter the new email and your password, then tap Send confirmation link. Open the email at the new address and tap the link; the change happens then. We also tell your old address.

Several locations

Owners with more than one location see All locations after signing in, with each location's status. Each location has its own checklists, team and bill.

Close your account

In Settings → Account → Close this account, type the account name and your password. Billing stops right away and your team can no longer sign in. Your data is kept for 30 days in case you change your mind (sign in and tap Reopen the account). After that it's permanently deleted. Download your history first from Settings → Export.

Your data

Your checklists and history belong to you. Download everything as a spreadsheet any time from Settings → Export, or a date range from Reports. See Privacy & Terms.

What not to put in CheckListsDone

CheckListsDone is for tasks and readings, not regulated records. It is not HIPAA compliant and we don't sign business associate agreements. Don't enter patient or resident health details (medications, vitals, diagnoses), children's personal details, student records, card or bank numbers, or ID numbers, and don't photograph them. Keep those in the system built for them, and use checklist items like "Medication reminder given" instead. If you build or import your own checklist, making sure it meets your own laws and inspections is up to you.
