Common questions
Does staff need to download an app?
No. CheckListsDone works in the phone's web browser. Scan the QR sign or open your site's address. You can add it to the home screen like an app.
What if the Wi-Fi drops?
Checks need a connection to save. If one doesn't save, a red Not saved message appears; tap again once the connection is back.
Can two people work on the same list?
Yes. Each check carries the name of whoever tapped it. The list owner is accountable for getting it done.
Is it OK to finish only part of a list?
Yes. The next person picks up where you left off. Everything you checked keeps your name.
Does it work in Spanish?
Yes. Turn on Spanish in Settings and staff can switch between English and Spanish at the top of the screen. The staff guide is in Spanish too.
Someone forgot their code
A manager opens Staff members & owners, types a new 4-digit code in that person's row, taps Save, and tells them the new code.
Can members or guests see the checklists?
Only on the Facility Status page, and only the checklists a manager has set to Shown: it lists when each of those areas was last checked. It never shows names, codes or notes. Every other checklist is private to your team.
How do I get a report for a client or inspector?
Open Reports, choose the dates, and tap Print / save as PDF, or download a CSV. Cleaning companies can also send each client a report link from the checklist's Client report button.
How do I bring in a checklist I already have?
See Bring in your own checklists. It's free to import yourself, or $50 to have us build it.
How is billing counted?
Per checklist that's turned on. See the owner guide.
Is CheckListsDone HIPAA compliant? Can we log medications or patient details?
No. CheckListsDone is a task checklist tool, not a medical, student or financial records system, and we don't sign business associate agreements. Keep health details, children's personal details, card numbers and ID numbers out of checklists, notes and photos. A check like "Medication reminder given" is fine; the details belong in your care record.
